The North American Division Office of Volunteer Ministries, in cooperation with the Office of Education, requires a specific policy procedure for short-term group trips sponsored by Adventist churches and educational institutions within the NAD which are 60 days or less, including travel. The group application process includes the following steps:

INSURANCE CONFIRMATION

ARM TRAVEL HUB

Your group insurance must include coverage for all volunteers with travel emergency, accident, and illness coverage included in the Short-Term Travel plans available through Adventist Risk Management, or equivalent coverage from another agency. 



TRAVEL ITINERARY

Detailed itinerary listing all Seventh-day Adventist churches and institutions to be visited.



STATE DEPT. TRAVEL ALERTS & WARNINGS

A copy of the first page (or screen shot) from the State Department Travel Alerts and Warnings for each country your group is visiting. It is also wise to enroll in their STEP program.



IMMUNIZATIONS

Acknowledgement that the participants have received required immunization.



PERMISSION FOR MINORS

Copies of signed parental permission sheets for any participants  under 18 years of age.



BACKGROUND CHECKS

If any participants are minors, appropriate background screening is needed for all adult participants who are not employed by a denominational entity. We will need a list of all cleared adults. Please use Verified Volunteers for appropriate background screening.



WHAT'S NEXT?

After your group's application has been processed and approved...


  1. Your group contact person will be notified.
  2. Adventist Volunteer Services and NAD Office of Education (if applicable) will be notified.
  3. These offices will notify the host division(s) so they are aware of your group's visit to their territory.
